Tips for your win-back email

  • Define "lapsed" from your own data, such as last visit or last order, not a calendar guess. A café with weekly regulars and a tasting-menu room have very different gaps.
  • Never explain why they've been away. You don't know, and "we noticed you stopped coming because..." reads like surveillance. Stick to "we've missed you".
  • Lead with the invitation and put the offer second. "We've missed you" should land before any discount does.
  • Pick an offer that costs you little but feels like something, such as a free appetizer, dessert or drink. State the terms and the end date in the email.
  • Send one or two emails a week or two apart, then stop. Guests who still don't open are better left alone, or removed from the list.
  • Send only to people who dined with you before and agreed to hear from you. Leave out anyone who has unsubscribed or bounced.

Mistakes to avoid

  • Guessing a reason, like "we know you've been busy" or "sorry about your last visit".
  • Sending it to the whole list. People who never visited aren't lapsed, and "we've missed you" rings false to them.
  • Turning it into a guilt trip. One warm line is enough; the offer and the menu do the rest.

Matching SMS

{restaurant}: It's been a while, and we'd love to see you again. Book your next visit: {cta_url} Reply STOP to opt out.

Text messages need their own, explicit opt-in. An email subscription does not cover SMS.

FAQ

Restaurant Win Back Email questions

What is a win-back email for restaurants?

It is an email sent to past guests who have not visited for a while. It reminds them you are there and gives them a reason to come back, usually a dish to try or a small offer.

When should I send a restaurant win-back email?

When a guest's last visit is longer ago than their normal rhythm, which depends on your restaurant. Use your own last-visit data rather than a fixed number of days, and send it as an automation.

Should a win-back email include an offer?

It helps, but it should not be the first thing the guest reads. Open with a warm line, then add a small offer such as a free dessert or appetizer, with clear terms and an end date.

How many win-back emails should I send?

One or two, a week or two apart. If a guest still does not open or visit after that, stop emailing them about it.
