Email Marketing for Restaurants

Restaurant Birthday Email template

A birthday email gives a guest a personal reason to book a table, and birthdays tend to be group dinners rather than tables for one. This template greets the guest, offers a small treat with clear terms and makes booking the next step.

Goal
Get the birthday guest, and the people they celebrate with, to book a table.
When
A few days before the birthday, so there is time to plan a dinner, or on the day itself. Set it up as an automation that runs off a birthday field in your list.
Tones
Warm, playful, polished
Includes
HTML, plain text, SMS

Tips for your birthday email

  • Ask for birthdays at signup, month and day only. You don't need the year, and a short reason next to the field ("so we can send you a birthday treat") helps people fill it in.
  • Send it a few days ahead rather than after the fact. Birthday dinners get planned before the date, not on it.
  • Pick a gift that is easy to claim: a free dessert, appetizer or drink works well. Tell the guest how to redeem it, such as mentioning it to the server.
  • Brief your team before the first send. A server who has never heard of the birthday offer turns a nice gesture into an awkward moment.
  • Offer a window, like the birthday week or month, and write the end date and terms in the email itself, not behind a link.
  • Make booking the obvious next step. Birthdays are often group dinners, so mention if you take larger parties.

Mistakes to avoid

  • Sending to guests whose birthday you only guessed. Use dates people gave you.
  • Burying the terms. Put the conditions and the end date in the email so nobody is surprised at the table.
  • Leaving out your postal address and an unsubscribe link, which US law requires on commercial email.

FAQ

Restaurant Birthday Email questions

What should a restaurant birthday email offer?

Something small that costs you little and feels generous, such as a free dessert, appetizer or drink. Keep the terms simple, say how to claim it and give a clear window to use it.

How do I collect guest birthdays for my email list?

Add a birthday field to your signup form that asks for month and day only, and say why you are asking. The year is not needed, and a short reason next to the field helps people fill it in.

When should I send a restaurant birthday email?

A few days before the birthday, or on the day. Most email platforms can send it automatically from a birthday field, so you set it up once.

Should the birthday offer expire?

Yes. Give it a window such as the birthday week or month and state the end date in the email, so guests and staff are working from the same terms.
