Restaurant Thank You Email template

A thank-you after a meal is a small gesture that makes a guest feel noticed and gives them a reason to think about their next visit. This template thanks the guest, gives them a way to reach you if something went wrong and invites them back.

Goal
Make the guest feel noticed and bring them back for a second visit.
When
The morning after the visit, or within a day or two. It needs a trigger such as a reservation, online order or loyalty check-in so each guest is thanked after their own visit.
Tones
Warm, playful, polished

Tips for your thank-you email

  • Send it within a day, while the meal is still fresh. A thank-you a week later reads like an automated message.
  • Keep it short. One thank-you, one next step. This is not the place for a newsletter.
  • Give guests a human way to tell you something went wrong, such as a phone number or a monitored reply address. It also means you hear about problems before a review does.
  • Make the offer optional. A thank-you with no coupon can feel more sincere, and you can save the offer for the second visit.
  • Keep the review request for its own email. Each message should ask for one thing.
  • Trigger it from a real event, like a reservation, online order or loyalty check-in, so every guest is thanked for their own visit.

Mistakes to avoid

  • Emailing everyone who ever booked or paid. A reservation or a card payment is not permission to market to them.
  • Turning the thank-you into a coupon blast. Say thanks first and keep any offer to one paragraph.
  • Using a no-reply address with no phone number, which leaves a guest who had a problem nowhere to go.

Matching SMS

{restaurant}: Thank you for dining with us. We hope to see you again soon. Book your next visit: {cta_url} Reply STOP to opt out.

Text messages need their own, explicit opt-in. An email subscription does not cover SMS.

FAQ

Restaurant Thank You Email questions

When should I send a thank-you email after a restaurant visit?

Within a day, ideally the next morning. The sooner it arrives, the more it feels like a real thank-you and not a scheduled campaign.

How do I send thank-you emails to restaurant guests automatically?

Connect your reservation, online ordering or loyalty tool to your email platform and set up an automation that fires after a visit. Only include guests who have agreed to receive your emails.

Should a thank-you email include an offer?

It is optional. If you include one, keep it small, such as a free dessert on the next visit, and put the terms and end date in the email.

Should I ask for a review in the thank-you email?

It is cleaner to send the review request as a separate email, so each message has one job. Do not offer anything in exchange for a review.
