Tips for your reservation reminder email

  • Send it one to two days ahead. A reminder two hours before leaves no time to refill the table.
  • Put the date and time at the top where it can be scanned. If your booking system provides merge tags for those, use them so each guest sees their own booking.
  • Make changing or canceling a single tap. An easy cancel link frees the table for another guest; a hard one just leads to a no-show.
  • Add the practical details guests ask about: parking, how long you hold the table, and whether the patio is open.
  • Keep it about the booking. Once a reminder includes promotions it is a commercial email, so include your postal address and an unsubscribe link.
  • If you also send the reminder by text, only text guests who agreed to receive texts from you.

Mistakes to avoid

  • Sending one static date and time to every guest. Use your booking system's merge tags, or send the reminder from the booking system itself.
  • Turning the reminder into an ad. A booking reminder that is mostly a promotion feels like bait.
  • Sending it too late to matter, or with no way to change or cancel.

Matching SMS

{restaurant}: Reminder of your reservation on {event_date} at {event_time}. To change it, call {phone}. Reply STOP to opt out.

Text messages need their own, explicit opt-in. An email subscription does not cover SMS.

FAQ

Restaurant Reservation Reminder Email questions

How far in advance should I send a restaurant reservation reminder?

One to two days before the booking, so a guest who cannot come has time to tell you and you can offer the table to someone else. For busy nights you can add a short second reminder on the day.

How do I show each guest their own reservation details?

Use the merge tags in your booking system or email platform for date, time and party size. If you cannot, send the reminder directly from your booking system instead of from a shared template.

Does a reservation reminder need an unsubscribe link?

Under CAN-SPAM, a message that only concerns a transaction the guest requested, such as a booking, is treated differently from marketing email. Once you add promotions, treat it as marketing and include your postal address and a working unsubscribe link.

Can I send reservation reminders by text?

Only to guests who agreed to receive texts from you, and keep the message about the booking. Marketing texts require prior express written consent under the TCPA.
